Sending a mass email¶
This is where you write one email and send it to lots of customers at once. You choose who gets it, you check exactly what it will look like, and you see the list of people before anything goes out. Nothing is sent until you press the final Send button and confirm.
How to open it¶
- Sign in to the admin.
- In the menu, click Mass email.
- You will see the writing area on the left and the audience choices on the right.
What you can do here¶
Write the email¶
- Click in the Subject box and type the line people see in their inbox.
- Click in the big HTML body box and type or paste the content of the email.
- The wording under the box explains that this is plain HTML. If you have been given ready-made HTML, paste it straight in.
See what the email will look like¶
- Above the body box there are two small tabs: HTML and Preview.
- HTML shows the raw text you are editing.
- Click Preview to see the email the way a customer would see it, laid out neatly.
- Click HTML again to go back to editing.
- The preview is safe to click around in: buttons and links inside it do nothing.
Choose who receives it¶
On the right, under Audience:
- Tick one or more professions (Doctor, Skin therapist, Registered nurse, Dentist, Clinic owner) to send only to those groups.
- Leave every profession unticked to reach everyone.
- Tick Newsletter subscribers to also include everyone signed up to the newsletter.
- Require marketing opt-in is ticked by default and should almost always stay ticked. It makes sure you only email customers who agreed to receive marketing.
Add specific people (optional)¶
Under Individual recipients:
- Type at least two letters of an email, name, or company in the search box.
- Pick a person from the list that drops down to add them.
- Added people appear as small tags below; click the × on a tag to remove someone.
- People you add here receive the email even if they have not opted in to marketing, so use this for individuals you know want it.
Check the audience before sending¶
- Click Preview audience.
- A summary appears showing how many people will receive the email, split into customers and newsletter subscribers.
- A few example email addresses are listed so you can sanity-check the list.
- If you change anything after this, the preview clears and you need to run Preview audience again.
Send¶
- The Send button only wakes up after you have run Preview audience.
- Click Send to [number].
- A confirmation box asks you to confirm, and warns that this cannot be undone. Click OK only when you are sure.
- When it finishes, a green message tells you how many were sent and how many failed.
Every field explained¶
| What you see | What it means |
|---|---|
| Subject | The headline of the email, shown in the inbox. Required. |
| HTML body | The content of the email. Required. |
| HTML / Preview tabs | Switch between editing the raw content and seeing the finished look. |
| Professions (checkboxes) | Send only to customers in the ticked groups. None ticked means everyone. |
| Newsletter subscribers | Also include everyone signed up to the newsletter. |
| Require marketing opt-in | Keep on so only customers who agreed to marketing are emailed. Does not affect newsletter subscribers or people you added by hand. |
| Individual recipients search | Add named people on top of, or instead of, the profession groups. |
| Preview audience | Shows the count and a few sample addresses before you send. |
| Send | Sends the email. Only works after a preview and after you confirm. |
Common mistakes¶
Emails will not go out unless email is set up
Mass email uses the same email service (Resend) as the rest of the shop. If it has not been set up, nothing sends. Go to Settings → Email and make sure the Resend API key and From address are saved. Use Send test email there first to confirm email works before you send to a real audience.
Always preview the audience first
The Send button stays greyed out until you click Preview audience. Read the count and the sample addresses carefully. Sending cannot be undone.
Opt-in protects your customers
Leave Require marketing opt-in ticked unless you have a specific reason not to. Turning it off can send marketing to people who never agreed to it.
Check the preview before a big send
Always click the Preview tab and read the email as a customer would. A small typo in the content can go out to hundreds of people at once.
